THA/TKA PRO-PM FAQs

Data Collection

  • HOOS-Jr, KOOS-Jr, SILS2, Oswestry Index Question, and VR-12.

  • Yes, we offer multiple ways for a patient to complete a survey. Generally patients will independently use the Patient Web App, a progressive web app, to answer their surveys. Alternatively, QR codes can be presented via the Provider Portal, the clinician-facing interface. This is typically managed in a clinical environment. Each QR code is specific to a patient and their survey touchpoint so that clinicians or healthcare staff can display the QR code on a tablet for the specific patient to complete their surveys. 

  • Reminders will automatically be sent to patients if a milestone (containing surveys) is not complete. The timing of the reminders is as follows:

    Pre-operative surveys: Reminders are sent to the patient every 14 days until completed or until the day of the procedure.  

    Post-operative surveys: Reminders are sent to the patient beginning of Post-Op day 300 and subsequently every 14 days until Post-Op day 390.

  • Reminders will be automatically sent to providers if a milestone (containing surveys) is not complete. The timing of the reminders is as follows:

    Pre-operative surveys:  A reminder will be sent to the provider 7 days prior to the day of the procedure 

    Post-operative surveys: Reminders are sent to the provider on Post-Op day 330, 360, and 390.

  • Yes, we can host a series of touchpoints that contain clinician-facing surveys. This would allow for historical data to be inputted and be stored alongside present day data.   Please contact us if you are interested in uploading historical data.  

  • Currently, we are able to support Spanish translations. If you need to use additional languages, please contact us. 

  • We can submit your data to CMS in the appropriate format in accordance with the submission deadline for each reporting period or we can provide you with the formatted data files for you to submit to CMS independently.

Escalation

  • We have an alerting system that will trigger an event based on a specific response from a survey.  For the THA/TKA PRO-PM, this event will only activate if a patient has not met the SCB threshold as set forth by CMS.  This only happens after completion of the Post-op survey.  At that point the SCB will be automatically calculated and you will receive an alert from Post-Op day 300 if the patient has not met the threshold.  Once an event is triggered,you can perform the following activities:

    1. Send an alert to the provider team

    2. Automatically schedule a repeat survey for Post-op day 390.  This allows the provider team time to intervene and respond to a patient who is not improving.   

    3. Patients who initially are not meeting the SCB and get re-surveyed will have their best survey results included in the final submission to CMS.  Offering the provider team an opportunity to improve the quality of care the patient receives.

  • Yes, alongside HIPAA, The Clinician is also compliant with ISO 27001, ISO 9001 standards and GDPR (2023/24) regulations.  Our platform is SOC2 Type 2 compliance certified.   

  • The Clinician is committed to protecting the privacy of every individual who uses our services. We comply with all relevant state, national, and international laws and regulations. This includes the U.S. Health Insurance Portability and Accountability Act of 1996 (HIPAA) and any applicable regional privacy laws. Unless permitted or required by law, your patients’ information will not be shared without consent. On occasion, we may use de-identified information to help us improve our patient reported measures and digital care pathway programs.

  • The system is hosted on AWS virtual servers which are located in the United States (North Carolina). 

  • Yes, we use cloud-based data storage, hosted on AWS.  

  • Currently , we do not offer this functionality  Please contact us for more details.  

  • Yes, we follow HL7/FHIR interoperability standards which allows the seamless exchange of health data. This means we can integrate with EMRs (e.g. Allscripts, Epic, Cerner), PAS/ADT, Integration Engines, etc. We can also manage data exports into data warehouses, connections to an Active Directory, and ITSM software. For all integration work, please contact our team.
